1. Introduction 

These Terms and Conditions apply to all training courses and services provided by the Primary Care Workforce Academy (PCWA). By booking or attending a course, you agree to be bound by these Terms and Conditions.

2. Payment Terms

  1. All prices are exclusive of VAT unless stated otherwise.

  2. A 50% deposit of the total fee is required at the time of booking.

  3. The remaining 50% balance must be paid at least 14 days before the commencement of the course.

  4. Failure to complete payment by the due date may result in cancellation of the booking without a refund.

  5. PCWA reserves the right to withhold course access until full payment is received.

3. Cancellations, Refunds, and Rescheduling

  1. Cancellations made more than 14 days before the course start date are eligible for a full refund, minus a 10% administrative fee.

  2. Cancellations made within 14 days of the course start date are non-refundable.

  3. Rescheduling requests will be considered on a case-by-case basis and are subject to availability.

  4. If PCWA cancels a course, participants will be offered an alternative course or a full refund.

  5. PCWA is not responsible for any expenses incurred due to course cancellation.

  6. Cancellation of Workshop/Webinar by PCWA: PCWA reserves the right to cancel any workshop/webinar due to unforeseen circumstances, though it shall endeavor to avoid doing so. If cancellation occurs, PCWA will reschedule the workshop/webinar, or if rescheduling is not possible, provide a full refund of any pre-paid charges.

4. Course Availability and Changes

  1. PCWA reserves the right to modify course content, trainers, or venues as necessary.

  2. Course dates, times, and availability are subject to change.

  3. PCWA will notify participants of significant changes at the earliest opportunity.

5. Customised Training

  1. Bespoke training services are available upon request and subject to an additional fee.

  2. Customised training requires prior agreement on learning objectives, delivery method, and scheduling.

  3. Trainer availability and content development timelines may impact the delivery of customised training.

6. Participant Responsibilities

  1. Participants must meet any prerequisites outlined for a course.

  2. Attendees are expected to engage professionally and respect PCWA policies.

  3. PCWA reserves the right to remove any participant displaying disruptive behaviour, with no entitlement to a refund.

7. Liability and Indemnity

  1. PCWA is not responsible for any loss, damage, or injury sustained during training sessions.

  2. Participants attend courses at their own risk and are responsible for ensuring they are fit to participate.

  3. PCWA shall not be liable for any indirect or consequential loss related to course participation. 

8. Intellectual Property Rights

  1. All course materials, including presentations, workbooks, and digital content, remain the intellectual property of PCWA.

  2. Participants may not copy, distribute, or reproduce any training materials without written permission.

  3. Unauthorized use of course content may result in legal action.

  4. Unless PCWA has provided express written consent, no course materials, workshop/webinar content, or any part thereof may be reproduced, shared with any third party, published, broadcast, distributed, or transmitted by participants in any form or by any means.

  5. Participants shall not copy, translate, merge, adapt, vary, alter, modify, disassemble, decompile, reverse engineer, or create derivative works based on the whole or any part of the course materials and/or workshops/webinars. 

9. Data Protection and Privacy

  1. PCWA handles all personal data in compliance with GDPR regulations.

  2. Participant information is collected only for course administration and service improvement purposes.

  3. Personal data may be shared with accrediting bodies where necessary for certification.

  4. By booking a course, participants agree to receive course-related communications unless they opt out.

10. Complaints and Dispute Resolution

  1. Complaints must be submitted in writing to PCWA within 14 days of course completion.

  2. PCWA will acknowledge complaints within five working days and aim to resolve them promptly.

  3. If disputes cannot be resolved internally, they may be subject to mediation or legal resolution under UK law. 

11. Governing Law

  1. These Terms and Conditions are governed by and interpreted under UK law.

  2. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the UK courts.

12. Supplemental Workshop Terms and Conditions

  1. Delegates are required to comply with any requirements notified to them by PCWA.

  2. PCWA does not accept any responsibility for any personal items left or lost by the delegate or which are stolen during any workshop. 

13. Supplemental Webinar Terms and Conditions

  1. You must satisfy yourself that the technology to be used by the delegate meets any requirements necessary to be able to view the webinar.

  2. Delegates will be required to comply with any rules/requirements of attendance issued by PCWA, similar to the following example (though specific requirements may vary):

    1.   To aid your attendance, you will be required to register in advance for this meeting.

    2.   Under no circumstances can you share this link with anyone else without prior approval by PCWA; it is for your use only.

    3.   After registering for your meeting, you will receive a confirmation email from PCWA containing information about how to join the meeting, which we advise you to save into your calendar.

  3. Delegates are expected to commit to being present for the whole session with video and microphone capability. Your participation and input remain vital to the success of the session. We would also ask that you aim to join from a quiet location, where distractions are kept to a minimum.

  4. If there are technical issues, then use of the chat box will be the minimum requirement. Our webinars are designed to be as engaging and interactive as possible, and delegates will therefore be required to be able to communicate with both the facilitator and their peers and be able to take part in group discussions and scenarios. CPD certificates will not be issued where there is no evidence of participation.

  5. Finally, as part of PCWA’s commitment to creating an inclusive training environment where individuals are valued and respected, please inform us of any long-term disability, mental health, or neurodiversity condition you may have. We will review and endeavour to accommodate your requirements where possible.

  6. PCWA is not responsible for any charges charged by your internet services provider which you may incur in accessing any webinar.
